Open Role: Virtual Office Manager
Summary
Hours: 20 hours/week (with the possibility of more depending on skillset)
Location: Fully remote (continental USA)
Schedule: Flexible within 9–5 CT, with some availability every weekday
Start Date: Immediate, or flexible for the right candidate
Length: 6 months with possibility of renewal
Compensation: $30/hour
Legal Status: Independent contractor (1099)

This isn’t necessarily a high-pressure role, but it’s a very high-trust one. The effectiveness and efficiency of our operations hinges on this person’s talents. Mirror Mirror Strategies is a boutique consulting firm that builds leaders and teams to show up at their peak performance. We do this through executive coaching, talent strategy, leadership development, transformation support, and keynote speaking engagements. We’re a relationship-driven practice, which requires top-notch results and high-touch communications. That means clarity, time and trust are everything. This role sits at the center of how our business runs.
What You’d Be Doing
Calendar & Operations (Daily – the core of this role)
Schedule meetings, send communications, track actions, and ensure the team meets regularly to plan and stay on top of all demands
Strategically manage the CEO’s calendar by planning for and protecting focus time, balancing priorities, and ensuring smooth transitions between meetings and client engagements
Anticipate needs for upcoming sessions and deadlines; make sure the team is prepared before every engagement with ample planning time
Track follow-ups, log meeting notes, and keep contacts and commitments organized in shared systems
Client & Materials Support (Weekly)
Polish PowerPoint decks and client-facing documents from rough drafts or notes
Process coaching session notes into clear takeaways and action items ensuring completion
Ensure social media content and responses are approved and posted
Tailor marketing collateral for prospective clients as needed
Business Development Support (Bi-weekly/Monthly)
Research companies and contacts for networking and outreach
Track outreach and action items for timely follow up in tracking document
Maintain CRM with pertinent current/prospective client information
Identify new speaking opportunities and submit proposals using existing content
Occasional & Ad Hoc
Package up existing tools and documents for clients when requested and draft email messages
Coordinate travel and logistics for speaking engagements
Transcribe handwritten or flipchart notes from client meetings and/or MMS planning sessions
Manage book inventory, shipments, and basic sales tracking
Who You Are
Highly organized with your own systems for managing time, tasks, deadlines, and follow-through
Proactive: you flag issues early, reach out when you need more direction, and stay ahead of what’s coming
A strong written communicator: clear, professional, and attentive to detail
Comfortable working independently in a fully remote setting with a small, busy team
Able to switch between requests frequently throughout the day and maintain discipline to complete tasks
Creative problem solver and highly accountable
Someone who can work within a set of tools, but also likes to continuously improve processes for greater efficiency whenever possible
Proficient in Microsoft 365 (Outlook, PowerPoint, Word)
Comfortable with, or willing to learn: Canva, HubSpot, Squarespace, and AI tools (Copilot & Claude)
Someone who finds genuine satisfaction in helping others operate at their best
